Terms & Conditions

Clients are requested to please note the following:


Consultation forms are required to be completed at your first appointment and these must be completed accurately and honestly. It is your responsibility to inform us of any medical condition that may affect your suitability for treatment.

Treatment is based on experience and teaching practice and the information which has been provided about the patient.

Any medical health changes from first consultation must be given as soon as the patient is aware of them.

We reserve the right to refuse treatment without explanation if we feel the treatment may be detrimental to health and safety of the patient or if the patient is suspected of being under the influence of drugs or alcohol.

Treatment will not be carried out until any outstanding payments are received from previous treatments or cancellation charges. Please note we do not offer credit facilities.

New patients are required to pay the full appointment fee in advance of their session – in the event of cancellation with more than 24 hours notice a full refund minus 10% will be made. No refund will be made for cancellation with less than 24 hours before the session start time. In all other cases full payment is required after each treatment and payment may be paid by either cash or bank card.

24 Hours notice must be given for cancellations otherwise this may result in the full session being charged for.

Patients under the age of 16 require a parent or guardian present during treatment.

Please make every effort to arrive for your appointment on time. If you are late for your appointment it will not be extended but will end at the scheduled time. Similarly if you are early for your appointment, please do not expect to be seen early or expect extra time to be given.

Inappropriate behaviour towards your Practitioner or any member of the Practice or Business Centre will not be tolerated and such will result in the immediate termination of the session. Full payment will be due in this circumstance and we reserve the right to refuse further sessions.

We accept no responsibility for loss or damage to personal items brought onto the premises.

Privacy Policy

What data we need from you and why:

We collect and store certain personal information from you, including name, address, phone and email (in addition to medical data pertaining to your reason for visiting) for the following purposes:

  • To comply with our regulatory body (the General Chiropractic Council) and their standards of record keeping;
  • To enable us to store and access your records remotely via our cloud-based patient management system so that we may see you at a different clinic or assign a different practitioner if necessary (i.e. in the event of needing an appointment at a location other than your regular clinic or your regular practitioner is unable to see you for any reason);
  • To enable electronic diary management including appointment booking confirmations and email or text reminders;
  • To enable us to contact you with important information relating to the clinic, i.e. changes to your Practitioner’s working hours or fees, advance notice of holiday and locum cover or if we need to make any changes to your booked appointment due to unforeseen circumstances.
In accordance with GCC regulations, we are required to hold your data for a minimum period of 8 years after your last appointment (or up to the age of 21 for children, whichever is later). After this period, if we have not heard from you, we will destroy your record card and all data we hold on you. If you wish to return to the Practice after this time we will need to commence a new record card and collect all the required data.

The initial record card is taken in hard copy then scanned into our patient management system. The hard copy record is stored in a locked cupboard at the clinic. 

We use a cloud-based patient management system where we store your record card, update your treatment records, store any scans or correspondence related to your treatment plan, arrange appointments and send reminder emails and text messages. Only your practitioner and the clinic owner have access to the system for the purpose of maintaining your record card and updating your treatment card after each session as required by our regulatory body.

The above data are needed for your attendance at the Practice and therefore your consent is required before we can register you as a patient. On this basis, we will ask you to confirm that you are happy to provide the personal data required for us to carry out this appointment. 

We take security of your data very seriously and will never share your personal details. External systems we use are GDPR compliant and reviewed regularly.
